Summary
AMZ is an emerging digital creative agency with offices across Central Europe. The agency is currently facing significant challenges in connecting remote teams and projects without having to suffer from communication gaps and time zone differences. These challenges had an adverse effect on the efficiency and workflow. To address this issue, they required a project management software that could serve as a collaborative platform across teams.
Challenges
The initial challenge that was presented to us was connecting different teams in one team that are situated in different time zones. Also, every team or even every member was using a different platform or tool to communicate. This ultimately meant scattered information and no checks and balances on the progress and deadlines of each project. The challenge was to somehow make a platform which would unite all these tasks, progress and reports in one platform with special consideration of project distinction to allow clean and seamless functionality. The biggest hurdle we faced was budget constraints from the client’s side. This became such an issue that we literally had to seek approval for any extra tool integration that we thought necessary, but the client kept resisting it and asked us to share a report that consisted of the need for it. Apart from this initial lack of reliability, the process was pretty smooth.
Process
The initial phase was one of discovery. Our experts at Staffshaw conducted interviews with the leadership of AMZ and understood their pain points and what their ideal product would look like. After this initial discussion, we examined the existing tools through which they were managing their company before and identified potential solutions. After this first step, we made a prototype and tested its functionality and usability. We used Node.js for scalability and a responsive interface. Furthermore, we integrated MongoDB for handling unstructured data like design files and comments. After making the final product, we conducted regular tests to check its alignment with user needs.
Outcome
Our day-in-day-out planning and execution at Staffshaw resulted in the successful delivery of CollabFlow, a transformative SaaS platform that revolutionized remote collaboration for their creative teams. By centralizing communication, project tracking, and file management into a single, intuitive interface, the platform drove a 30% increase in team productivity.
